The legal stuff

Who we are

Our website address is: https://activesportsfc.com/

Data Collected

We collect names, contact details, date of birth, emergency contacts, medical information (where provided), and payment details.

Purpose

Data is used for player registration, communication, safety, scheduling, and club administration.
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Applying for the Under-23s Project

If you apply for a place on the Under-23s Project, we collect the information you give us on the application form. This section explains what happens to it.

What we collect

  • Your full name, email address and contact number
  • Your date of birth
  • Your address
  • Any medical conditions you tell us about
  • Your playing history, if you choose to give it
  • The name and contact number of your emergency contact

Why we collect it

We use this information to consider your application, to contact you about it, and to keep you safe at training. Your date of birth tells us whether you meet the age range for the programme, and whether any additional safeguarding steps apply. Your emergency contact and any medical information allow our coaches to respond properly if something happens during a session.

We will not use your application to send you marketing. If you want club news, fixtures and updates, you can join our mailing list separately at any time.

Health information

Medical information is treated as sensitive personal data under UK data protection law, and we only collect it with your explicit consent. That is what the tick box on the application form is for. You do not have to give us this information, but we ask for it because our coaches need to know about anything that could affect your safety at training.

Medical information you give us is stored securely on this website and is not sent by email. Only a small number of authorised club officials can view it. In an emergency we may share relevant details with medical professionals or emergency services.

If you are under 18

The Under-23s Project is open to players aged 16 and over. If you are under 18 when you apply, your application is flagged to the club’s Designated Safeguarding Lead, who will contact you and, where appropriate, your parent or guardian, before you attend a session.

How long we keep it

If your application is not successful, we delete your details within six months. If you join the programme, your details become part of your club records and are kept for as long as you are involved with the club, and afterwards only for as long as we need them for legal or insurance reasons.

Your rights

You can ask us at any time to show you what we hold about you, to correct it, or to delete it. You can also withdraw your consent for us to hold your medical information, although we may not be able to offer you a place at training if we do not have it.

To make any of these requests, or if you have a question about how we handle your information, contact us at info@activesportsfc.com.

If you are not happy with how we have handled your information, you have the right to complain to the Information Commissioner’s Office at ico.org.uk.
